A head of digital for your firm, without the full-time hire.

This is for law firms, surveyors and accountancy practices of 10 to 200 people that need someone to own their website, Microsoft 365, client data, regulatory reporting and AI. The person on your first call does the work and sends you a written update every week. It costs from £4,000 a month, with a three-month minimum.

Prices exclude VAT, which is added where applicable.

When a firm needs this.

  • Nobody owns the website, Microsoft 365, domains and IT suppliers, so they drift until something breaks.
  • The annual regulatory return, such as an AML questionnaire, takes someone a week of digging through spreadsheets and inboxes.
  • Client data sits in spreadsheets, inboxes and someone’s head, and there’s no CRM anyone trusts.
  • An insurer, a regulator or a client has asked how the firm uses AI, and nobody is responsible for the answer.

This role is for firms where that work doesn't justify a full-time hire, but still needs someone responsible for it every week.

What it covers.

Six areas of the firm's systems and records, looked after as one piece of work.

Website, Microsoft 365, domains and IT suppliers

We keep them running, renewed on time and documented. We also manage your IT suppliers, so problems have an owner and nobody at the firm has to chase them.

Client and matter data, and the CRM

Client and matter records in one place that people trust, with access set by role. If the firm needs a CRM, we build it or fix the one you have.

Regulatory reporting

We produce annual returns, such as AML figures, from your own records. Every figure is traced to its source, and gaps are shown rather than filled in.

AI policy and governance

We keep the AI register, policy and supervision protocol current as tools and rules change. For RICS-regulated firms, we prepare and minute the quarterly review of the AI risk register. The RICS standard requires your own people to carry out that review, and a named surveyor to make or supervise the decisions on whether an AI output is reliable enough to use.

Building and automating what the firm needs

Smaller systems and automations are part of the monthly work. A larger system may be scoped and priced separately as a Build, and agreed with you before it starts.

How Builds work

The paper trail

We keep a written record of what changed, who decided and why. That way the firm can answer an insurer, a regulator or a client from the file rather than from memory.

How the work runs.

  1. Month one

    Finding out how things stand

    We find out which systems you run, who supplies them, where client data lives, what your regulatory returns need and where the risks are. By the end of the month you have all of that in writing, with prioritised recommendations and a plan for the next two months that we agree with you. The discovery work is included in the monthly fee.

  2. Every week

    A written update

    A short update covering what was done, what’s next, what needs a decision from you, and anything that went wrong. It goes to whoever you choose at the firm. Over time, the updates become part of the record of how your systems are run.

  3. From month four

    After the minimum

    After the three-month minimum, the work continues monthly, with one month’s notice to end it.

Ongoing since August 2026

What this looks like in practice.

Since August 2026, we've provided the embedded Head of Digital & Growth for a regulated law firm in Cyprus, under a signed services agreement. The work is ongoing. So far we have:

  • built and tested a CRM, with role-based onboarding of the firm's staff now under way;
  • designed the CRM to produce the firm's annual Cyprus Bar AML compliance questionnaire figures by reporting year, with a source for every figure and any gaps visible;
  • looked after the firm's website and Microsoft 365 estate and its suppliers;
  • prepared a hosting, access and data note for the partner to sign off before real client data goes live.

The firm isn’t named here until its partner agrees. Because the work is still in progress, this lists what has been done, not results.

More about this engagement

What it isn't.

It isn't an IT helpdesk

Day-to-day support for your users stays with your IT provider, and we manage that relationship.

It isn't legal or compliance advice

Where a question needs your own advisers, we'll say so.

It doesn't take regulatory decisions away from your people

We prepare the paperwork and keep the record. The people at your firm who are responsible for those decisions still make them.

Tell us what nobody at the firm owns.

Start with a free 20-minute call about the systems, returns or suppliers that are causing trouble. If Embedded Head of Digital is more than the firm needs, we'll say so and point you to the AI Evidence Pack or a Build if either fits better.
