A CRM, client portal or report your firm needs, built for a fixed price.

This is for law firms, surveyors and accountancy practices that need one specific system built: a custom CRM, a client portal, compliance reporting, AI in client work with a person checking it, or workflow automation between the tools you already use. We agree in writing what it will do and how you’ll test it, fix the price, then build it. Builds start from £7,500.

Prices exclude VAT, which is added where applicable.

What we build.

Five kinds of system, each built around how your firm actually works.

Custom CRM

Client and matter records in one place, designed around your firm's work rather than a sales pipeline, with access set by role, links to the tools you already use, reports, and a plan for moving your existing data across.

In our ongoing work for a regulated law firm in Cyprus, we have built and tested a CRM, with role-based onboarding of the firm's staff now under way.

More about this engagement

Compliance reporting

The annual return that takes someone a week of digging, produced from the records you already keep. Every figure is traced to its source, and gaps are shown rather than quietly filled.

For the same firm, we have designed the CRM to produce the firm's annual Cyprus Bar AML compliance questionnaire figures by reporting year, with a source for every figure and any gaps visible.

Client portals

A place for clients to send documents and see where their work stands, instead of email attachments and chasing. Who can see what is set by role, and every upload is recorded.

AI in client work, with a person checking it

AI inside a real piece of client work, built so that the person who has to sign it off can do so.

Each one comes with five things:

  • Data boundaries: what the workflow may see, where it’s processed, which suppliers are involved, and what stays out entirely.
  • Human review, placed deliberately: an accountable reviewer at the point where a wrong output would matter, not a checkbox at the end.
  • Tested on real cases: examples from your own work are checked before launch, and again whenever the AI tool or its instructions change.
  • A record that survives the question: inputs, outputs, who reviewed what, when, and what they changed, in a form you can show a client or an insurer.
  • Named ownership: who is accountable when the system is wrong, and what happens next, written down before go-live.

Our ISO 42001 certificate covers our management system, and its certified scope includes the software we build for clients, AI integration included. That means how we work is audited. It doesn't make your system or your firm compliant with anything.

Automation between existing tools

We remove the copying, rekeying and chasing between tools you already pay for, such as Microsoft 365 and your practice management system, and decide with you what should stay a deliberate human step.

The result is workflow automation you can account for: a process that runs on its own, someone at the firm named as its owner, a record of everything it did, and a plan for when a link between two tools breaks.

How a Build runs.

Every Build goes through the same five stages, and the person who scopes it is the person who builds it.

  1. Scope

We agree in writing what the system will do and what it won’t, who decides at each step, the assumptions, and the acceptance criteria you’ll test it against. Nothing is built until you’ve agreed it.

  2. Price

You get a fixed price for that scope before any work starts. The first scoping call is free. A larger build may need a paid scoping phase, credited against the build if it goes ahead.

  3. Build

We build in stages, with the riskiest part working early so you can try it. That way, wrong assumptions show up while they’re cheap to fix.

  4. Acceptance

You test the system against the agreed criteria. It’s finished when it passes them.

  5. Handover

You get documentation and training for the people who’ll own the system. Support afterwards is a monthly support plan or a day rate, agreed at handover.

What moves the price.

  • How many systems it has to connect to
  • Whether existing data has to be moved across
  • How many kinds of user it has, and what each may see
  • How much it has to keep on record
  • Whether your clients use it directly

You'll get a fixed price with the written scope, before any work starts.

If you want something that wasn't in the scope.

Tell us and we'll price it as a change. You decide whether it goes ahead, and nothing is added to the price without your agreement.

What you own at the end.

Once the build is paid for in full, the code, the data, the accounts and the documentation belong to the firm.

Third-party and open-source components stay under their own licences.

Not sure it's a Build?

If the problem isn't clear enough to scope yet, bring it to the call anyway. Sometimes the answer is a change to a tool you already have, and we'll say so.

If several things need fixing at once, Embedded Head of Digital may suit you better, because its first month is spent working out what needs doing.

You can also see software we've designed and built.

Talk through the system you need.

A 20-minute call is enough to tell whether it's a Build, roughly what it would involve, and whether a fixed scope is realistic. The call is free.
